When you contact us

The contact form asks for your name, your email address and a message. We use this information to respond, discuss an assignment and manage the related correspondence. The form forwards the message to our corporate mailbox using an encrypted connection to the mail service. Attachments are not accepted, and the website does not keep a separate database of messages.

For an enquiry about entering into a contract with you, the basis is taking steps at your request before a contract. For other business correspondence, including contact with a representative of an organisation, the basis is our legitimate interest in responding to enquiries and managing business relationships.

Visiting this website

This website does not use analytics, advertising trackers or embedded maps or videos. Fonts, images and scripts are served with the website. The contact form uses a necessary session cookie named forgis_contact to protect submissions from forged requests. It is restricted to the contact page, is not available to scripts and is sent over HTTPS. The cookie lasts for your browser session; form tokens expire after one hour.

To limit abusive submissions, the form temporarily stores keyed representations of IP addresses and attempt timestamps. These records are personal data used for security, not advertising. Limits use a window of up to one hour; expired records are removed on subsequent requests. Expired form sessions are also removed when the form is next used. Names, email addresses and message bodies are not stored in these counters or application error logs.

Requests to a web server include technical information such as your IP address, the requested page, the time of the request and browser information. This information is used to deliver the website and support its security and operation, based on our legitimate interest in operating a secure, accessible website.

Service providers and access

Website hosting and email service providers process information needed to operate their services. Access to business correspondence is limited to those who need it to deal with the enquiry or assignment. We do not use your enquiry for advertising tracking.

How long information is kept

Enquiry correspondence is kept while the enquiry and any resulting assignment are being handled. The need to retain it afterwards is assessed according to outstanding follow-up, contractual obligations, applicable legal record-keeping requirements and the establishment, exercise or defence of legal claims.

Your rights

Depending on the circumstances, you may request access to your personal data, correction, deletion, restriction of processing or data portability. You can also lodge a complaint with the Office of the Data Protection Ombudsman in Finland or your local data protection supervisory authority.

You choose whether to contact us. We need sufficient information to understand and respond to your enquiry. Please avoid sending sensitive personal information that is not needed for the assignment.
